An SOP, or standard operating procedure, is a written document that explains how a specific process works, step by step, in plain language. It is not a policy document. It is not a general guide. It is a clear, practical reference that tells someone exactly what to do and in what order.

A good SOP does not require the original author to explain it. That is the standard every document from The SOP Studio is held to.

HOW IT WORKS

The Process Behind the Documentation

Every SOP Studio engagement follows the same six-stage process. You will always know where you are and what comes next.

01

Intake

After booking, you complete a short intake form. It covers the process we are documenting, who owns it, and what tools or platforms are involved. This takes about ten minutes and surfaces anything that needs clarification before we meet.

Process Walkthrough

We meet on a screen share. You walk me through the process live while I observe and ask questions. I am not passive in this session. If a step is skipped or unclear, I stop and ask. The goal is to understand how the process actually runs, not just how it is supposed to run.

Hands-On Review

After the walkthrough, I run through the process myself with access to your tools. This is how I capture clean, cropped screenshots at the right resolution, confirm the step sequence, and close any gaps. Documentation built from observation alone often misses what only becomes visible when you do the work yourself.

Draft Delivery

I write the SOP using my walkthrough notes, the hands-on review, and the screenshots captured directly from your tools. You receive the formatted draft within the agreed turnaround window.

Review and Revisions

You have seven days to review the draft and submit consolidated feedback. Every package includes two rounds of revisions. Feedback covers the content as documented. If the process has changed since the session, that is scoped separately.

Final Delivery

The finished SOP is delivered in your preferred format, ready to use, share, or file. If a video tutorial was added, it is recorded and delivered after the written SOP is approved.

On system access: For the hands-on review, I will ask for temporary access to the relevant tools and platforms. View-only access works for most processes. Anything requiring elevated permissions is discussed during intake before the engagement begins.

ADD-ON

The Video Tutorial Add-On

For processes that are easier to show than describe, a branded training video can be added to any Single SOP or Starter Pack.

Every video includes a professionally designed opening title slide built in Canva, clear screen recording with voiceover narration, and a step-by-step walkthrough of the process or tool. Delivered via a secure video link. This is not a quick screen recording. It is a finished, usable asset your organization can share with members, staff, or new hires.

For Full Documentation Projects, video tutorials are scoped separately after the SOP work is confirmed.
